Introduction

MMG knows and respects that protecting the confidentiality of personal information is important to our candidates and clients. We recognize that we need to earn your trust, and firmly believe that you should know exactly what personally identifying information we collect and how we are going to use it before you share it with us.

MMG collects personally identifying information about you only when you specifically and knowingly provide it to us. Your personally identifying information will be used to provide you with the best possible service.

MMG has named a Privacy Officer to ensure that the personal information gathering and handling practices of our firm meet all the responsibilities and regulations of the Personal Information and Protection & Electronic Documents Act (PIPED).

What Is Personally Indentifying Information?

Personally identifying information is information that can be explicitly used to identify and/or contact you as an individual. This includes information like your name, e-mail address, mailing address, phone number, qualifications, education, work history, skills, aptitudes, resume, salary, and benefits information. It may also include information we derive about you through the administration of skills, personality or aptitude testing and our interview notes.

Why We Collect Personal Information

MMG provides recruitment services to a wide range of clients and applicants. Personal information supplied by you is used to consider and evaluate your qualifications for employment with one of our Clients or with MMG. MMG collects this information to ensure you are provided with the best possible service. It may also be needed for purposed of compliance with federal, provincial and local laws and/or for editorial and feedback solicitation purposes.

Safeguarding Information

MMG will take every appropriate measure to ensure that personal information you have supplied is stored securely whether in electronic form or in an on-site storage of paper files. Access to these files is limited and available only on a need-to-know basis for purposes of recruitment and placement.

Safeguards such as passwords, firewalls, and security software are in place to prevent unauthorized computer access. Additionally, premises security and staff training on the importance of privacy and security are key components of our safeguard policy.

Information Retention

We retain your information for as long as your job search continues or until such time as you advise us otherwise. We rely on you to notify us of any changes in your personal information that you consider important so that we can keep your personal information up to date.

When we determine that your personal information is no longer required for any purpose we have identified to you, we will take reasonable steps to ensure that it is disposed of in a secure manner or rendered anonymous. Some personal information must be retained for specific periods to comply with various laws.

Consent

By reading this policy, using our services, and providing us with your personal information, you imply your consent to the collection, use and disclosure of your personal information as specified herein. If you subsequently supply further personal information it is assumed the consent we originally received is applicable to personal information supplied at a later time, provided the purposes are the same as have been identified in this document or by an MMG representative.

Consent may be written or verbal, or it may be implied, as is the case when you send us unsolicited personal information, in paper copy or electronically. If you have received this form in hard copy, we will ask you to sign one copy signifying your consent. If you receive this via e-mail, as a reply to the receipt for unsolicited personal information, your consent will be presumed and you do not need to return anything. Your consent can be withdrawn by notifying our Privacy Office in writing.

Concerns

If you have any concerns with respect to the collection, retention, disposal, use, or disclosure of your personal information, you have the right to address these concerns in writing via email to our Chief Privacy Officer.
