Operations Manager

Allergy and Rheumatology Clinic

 Position Overview:

Reporting to the Clinic’s Specialists, the Operations Manager is responsible for leading the team to meet strategic and operational goals, and coordinating ongoing and special projects that align regulatory requirements. This includes, but is not exclusive to:
  • Integrated Continuous Quality Improvement Program & Risk Management;
  • Human Resources;
  • Health & Safety Initiatives and Programs;
  • Information Management & Technology;
  • Policies & Procedures;
  • Effective Administrative & Operational Functions;
  • Organization Communication Plans & Public Relations


  • Manage the day to day operations of the medical clinic
  • Schedule and supervise staff ensuring they are meeting the requirements of the positions
  • Ensure staff completion of all mandatory training and skill development
  • Monitor care and service delivery performance
  • Review patients’ schedule, update and maintain their charts
  • Support the physicians and assist them with patient care
  • Answer patients’ questions and concerns and interact in a supportive and informative manner
  • Develop and implement performance improvement plans
  • Ensure patient journey is efficient and pleasant
  • Effectively build and manage client relationships
  • Complete appropriate medical billing for patients
  • Manage and order medical and office supplies to ensure smooth running of the clinic
  • Respond to and resolve urgent clinical concerns from reporting staff and clients
  • Participate in the interviewing of potential field staff if requested
  • Respect and maintain privacy, dignity and confidentiality of staff and clients


  • Minimum three years of experience in healthcare in Ontario
  • Previous experience in organizing and operating multiple specialties (different specialists) in Ontario
  • Solid understand the billing system of Ontario (private and public)
  • Experience working with international medical graduates, physician assistants, nurses, nurse assistants, nurse practitioners
  • Experience using Accuro and Oscar EMR systems and asset
  • Experience with any of the following rheumatology, allergy, clinical immunology, gastroenterology, dermatology, respirology, internal medicine is an asset
  • Proven ability to use mobile apps and different virtual clinics platforms like Ontario Telemedicine (OTN) an asset
  • Previous Human Resources experience and understanding preferred
  • Proven ability to work collaboratively with both internal and external partners
