Full- Time Receptionist, Brantford, ON

 Job Summary:

To ensure that the patients first contact (and subsequent contacts) with the office, whether by phone or in person creates and establishes such a favorable impression that they feel like a welcomed guest and are confident in having chosen us to care for their Dental needs.

The Patient Coordinator/ Receptionist is responsible for servicing all patient accounts, finances, scheduling and treatment plans. This includes reviewing all non-clinical information with the patient in a way that encourages treatment acceptance, and may include making financial arrangements, sending predeterminations and following up on all treatment plans

 Duties & Responsibilities:

  • Greet and welcome all patients immediately upon their arrival. Hang up their coats and make them comfortable.
  • Schedule appointments for maximum efficiency for the doctor and hygienists
  • Process patient payments appropriately and explain fees
  • On a daily basis, review charts for the next 3 days in preparation for every morning huddle
  • Ensure all patient charts that have been processed with today’s charges, next appointment date and treatment plan, and their patient status is up to date
  • Confirm all appointments as per confirmation protocol and check for outstanding balances and premedications
  • Ensure all laboratory cases have been received before the patient arrives
  • Follow-up with patients who have failed appointments and/or others who need to reschedule, update their patient status accordingly
  • Prepare new charts for new patients that include office policies, cancellation policy and medical history
  • Maintain tidiness, cleanliness and adequately stocked supplies in the reception area
  • Attend and participate in ongoing staff meetings
  • Assist and support other team members where and when needed
  • Communicate all names and addresses of active patients and Leads with marketing firm for quarterly newsletter.
  • Other duties as needed

 Qualifications:

  • Minimum of 3 years experience in Dental Office setting preferred
  • Excellent communication skills
  • Excellent computer skills
  • Proven ability to multitask in a fast paced and high pressured environment
